What information do we collect about you?

Information you give to us directly

We will collect and store information that you give us when you do the following things on our website(s):

Codes of ethics and practice

All EWG counsellors and supervisors are required to comply with the code of ethics and practice that is appropriate to the work they undertake. All Counsellors and members of a relevant professional body.

  • counselling is covered by the British Association for Counselling & Psychotherapy’s Ethical Framework for Good Practice.

In addition, EWG personnel must comply with EWG’s practice policies and guidance which both complement the external codes and set specific organisational standards for ethical working. Please ask your counsellor if you would like to know more about this.

 

How  is your information used?

​We will use your information to confirm any details of courses that you have applied for and to send relevant information such as course dates, course information and any changes that you may be effected by, this will usually be by email.

We will need to use your information if you choose to exercise any of your data protection rights.  These are detailed in the section “what decisions can you make about your information?” and in our data protection paragraph.

Emotional Wellbeing Group Ltd may use anonymised information for research purposes.  It will not be possible to identify you from this information.

Who else might see your information?​

The information that you give to us is kept confidential unless there is a very good reason for sharing it.

We may also need to share your information if you make a complaint against a counsellor or raise a concern.  We will investigate and as part of this investigation we may need to share some of the information with third parties such as the regulator, insurers or professional advisors..

We do store data electronically and we use password protected databases for your information.

For how long do we keep your information?

​We keep your information for up to 7 years. If you are a subscriber for our website we keep your details indefinitely to ensure that we can keep you up to date with information and news. You can unsubscribe at any time.

Legal grounds for using your information

Information about your health and wellbeing​

  • Your information is used where this is necessary in connection with the management of health care services. For example to make sure that we thoroughly deal with any complaints about the care that you have received.

  • We are allowed to use your information in an emergency, for example, if you require urgent medical attention.

  • If something goes wrong we may need to use your information in connection with legal disputes.

Information which is not about your health and wellbeing (such as your name and contact details)​

  • We have an agreement with you to provide services.  We are allowed to use information about you where this is necessary to perform our obligations under this agreement (for example to inform you about changes to replies or service hours).

Relate keeps confidential records and statistics about its clients. All records are kept securely and are only seen by authorised EmotionalWellbeingGroupLtd personnel. These records are subject to the General Data Protection Regulation May 2018. Some of the information we may collect is classified as sensitive personal data and we can only use such data where we have your explicit consent. This data may include racial or ethnic origin, political opinions, religious beliefs, trade union membership, physical or mental health, sexual life, criminal proceedings and offences. Your personal and sensitive personal data will only be used in order to provide the service to you and for managing and quality assuring the service. Records are kept for up to a period of 7 years and are then destroyed.

EmotionalWellbeingGroupLtd recognises that on occasion, our clients may wish to exercise their rights under the General Data Protection Regulation (May 2018) and make a subject access request in respect of their personal information held by EmotionalWellbeingGroupLtd. Often during counselling, information is provided by more than one individual. In these cases, EmotionalWellbeingGroupLtd will only release information if consent has been given by all of the individuals involved.
